Alumni Association of The City College of New York New York, NY 10031 Hybrid remote $50,000 a year - Full-time

Full Job Description The Alumni Association of CCNY seeks a Financial Coordinator/Bookkeeper to oversee, coordinate, and administer the financial records, systems, and processes of the association, including accounting, bookkeeping, payroll and benefits, record keeping and reconciliations, banking, insurance, and all related financial administration.

RESPONSIBILITIES:

Accounts Payable. Processes all payments to vendors and contract employees. Records and monitors all expenses disbursed; keeps Executive Director and Office Manager informed of any variances (both positive and negative) by expense category. Accounts Receivable. Records and monitors all restricted and unrestricted income for the Alumni Association. Including, but not limited to: Processing all dues payments daily through the appropriate bank account based on account balances and total income received. Including Credit card payments. Processing all donations and scholarship payments and sending out appropriate acknowledgement to the donor. Payroll. Processes weekly and bi-weekly payroll for all full time and part time staff. Taxes. Processes quarterly tax reports (Federal form 941, Disability Tax Form, NYS – 45). Monitors and processes NYS unemployment taxes and benefits. Audit Management. Together with Executive Director, manages the relationship with an auditor, contracted annually to conduct a complete audit (or financial review), whichever is required, of the association. Additional duties include performing all closing entries for the year. Petty Cash management. Develops and monitors daily/weekly allocation and reconciliation of petty cash. Customer Service. Notifies alumni regarding fulfillment of pledges, balances due, processing errors, etc. General Bookkeeping. Performs all general ledger entries Completes monthly trial balance and monthly schedules of income and expenses. Generates income/expense reports, as requested by Affiliate Groups and Chapters. Conducts monthly reconciliation of 13 bank accounts (3 parent accounts, 10 Affiliate Group accounts) as well as restricted fund/investment accounts. Attend Alumni Association activities as needed. Performs other related duties as assigned. KNOWLEDGE AND SKILL REQUIRED:

3 years minimum professional experience in a finance/accounting related role Proficiency in using QuickBooks. Knowledge and mastery of accounting principles and practices. Systematic record keeping and organizational skills. Familiarity with Microsoft Word, Excel, Outlooks; Google Docs. Excellent communication skills (written and oral). Strong organizational skills and attention to detail. Ability to establish and maintain effective working relationships. Time management skills and ability to multitask and prioritize work. Strict confidentiality in all phases of work. BA/BS in Accounting, Finance or a related field preferred. ABOUT US:

Monday to Friday COVID-19 considerations: Proof of vaccination is required. Masks are optional for all in-office/on-campus activity. Currently all staff have the option to work remote 2 days a week.
